Privacy is a matter of trust and your trust is important to us. We respect your privacy. The legal protection and the legally compliant collection, processing and use of your personal data is, therefore, an important concern for us. In order to make you feel safe when visiting our websites, we strictly observe the legal provisions when processing your personal data and would like to inform you here about how your data is collected, processed and used.
You can print or save this document through your web browser’s printing function (normally got to the “File” tab followed by the “Save As” option).
1. RESPONSIBLE PARTY
The party responsible for the collection, processing, and use of your personal data is:
Organic Hemp, Strandvejen 70
2. COLLECTION, PROCESSING, AND USE OF PERSONAL DATA
2.1 PERSONAL DATA
Personal data is information that you provide to us which personally identifies you, such as your name, telephone number, address, as well as all inventory data that you provide us with when registering and creating your customer account. Statistical data on the other hand, such as the number of times you visit one of our web pages, is not directly associated with your personal identity and thus does not fall into this category.
2.2 CUSTOMER ACCOUNT
In order to directly access your stored inventory data, you must register, which includes creating a password, and henceforth entry into your customer account is password-protected. Here you can view data about your completed orders, open orders recently shipped orders, manage your data and options for receiving newsletters. The password to your account and your personal should be kept confidential, made non-accessible to unauthorized third parties. We cannot accept liability for the improper use of your password unless we are responsible for the abuse. Unless you opt out, you will always be automatically logged in. This feature allows you to use some of our services without logging back in again every time you visit one of our web pages. However, for security reasons, if you want to change your personal information or place an order, you must confirm your identity through entering your password.
2.3 COLLECTION, PROCESSING AND USE OF YOUR PERSONAL DATA
Again, privacy is very important to us. We collect, process and store your data throughout each step of the purchase process, including any subsequent warranties, in order to not only process the order but to both maintain and improve all of our services, technical administration and for marketing purposes. Your personal data will only be passed on to third parties or otherwise transmitted outside of Organic Hemp if this is necessary for the purpose of executing your order or if you have previously consented to special circumstances. As part of order processing, the service providers we use, such as transporters, logisticians and banks, receive the necessary data for processing your order. In other words, the necessary data we provide them may only be used to fulfill their specific task. Any other use of the information is strictly prohibited. To process your order, we need your correct name, address and payment details. We need your e-mail address so that we can confirm your order purchase and shipping, communicating with you effectively throughout the process. As mentioned before, we also use these details for your registration and identification. You can file a claim requesting that your data is permanently deleted, which will be fulfilled if the storage of your data is no longer necessary for legal reasons.
2.4 USE OF YOUR DATA FOR ADVERTISING PURPOSES
In addition to communicating with you about your orders, we also use your data to recommend products or services that may be of interest to you as well as share marketing promotions. You may object to the use of your personal information being used for these marketing purposes at any time. An email or letter to the contact details provided in Section 1 is sufficient.
This section outlines the content of our newsletter as well as the registration, shipping, and statistical evaluation procedures. It also informs you about your right to object to our newsletters.
To subscribe to our newsletter, you must provide your email address and then, via a confirmation email sent to you, complete the registration process, thus providing legal consent and accepting the content of our newsletters: advertisements, that is information about new products and special offers, as well as interesting, informative articles.
Through applying and completing your registration process, we store your e-mail address, the confirmation time as well as the IP address through MailChimp. Likewise, any changes you make to your personal data will also be stored through MailChimp.
MailChimp is one of our service providers, a marketing automation platform and an email marketing service, operated by Rocket Science Group, LLC (675 Ponce De Leon Ave # 5000, Atlanta, GA 30308, USA). Again your personal data is safely stored with their servers and our newsletter is distributed through them. Furthermore, MailChimp may, according to its own policies, use data to improve its own services, such as tracking which countries recipients of newsletters reside or simply how to optimize layout/design of newsletters. However, MailChimp will not pass your data onto third parties.
Statistical Survey and Analysis
The newsletters contain a so-called “web-beacon”, i.e. a pixel-sized file that is retrieved from a MailChimp server when the newsletter is opened. MailChimp thus retrieves technical information, such as your browser, IP address and time it was accessed. Information about your reading habits is used to improve their technical performance and services.
To elaborate, this statistical survey determines if our newsletters are opened, when they are opened and which links will be clicked. For technical reasons, this information can be assigned to the individual newsletter recipients. However, it is neither our desire nor the desire of MailChimp, to observe individual users. We simply want to evaluate the general patterns of users, i.e. how to adapt our content to our readers’ interests.
Online Call and Data Management
There are cases in which we may direct recipients of our newsletter directly to the MailChimp website. For example, if you are having difficulty viewing the newsletter due to display problems, we include a link that allows you to view the newsletter online. Furthermore, through MailChimp’s website, recipients can view their data, such as change their e-mail address.
Termination / Revocation
You can unsubscribe to our newsletter at any time, i.e. revoke your consent. Simultaneously, you would be revoking consent to MailChimp so all statistical analysis will be terminated. A separate revocation of only the later is unfortunately not possible. A link to unsubscribe to the newsletter can be found at the bottom of each newsletter.
2.4.2 PRODUCT RECOMMENDATIONS BY E-MAIL
As a customer of Organic Hemp, you will regularly receive by e-mail valuable recommendations of our products. These recommendations are provided regardless of whether or not you have subscribed to a newsletter. In this way, we want to inform you about products that may be of interest to you based on your recent purchases with us. We comply strictly with the legal requirements. If you do not want to receive any recommendations of products or any Organic Hemp advertising at all, you can always object to this. An email or letter to the contact details provided in Section 1 is sufficient. Of course, you will also find in all Organic Hemp e-mails an unsubscribe link.
2.4.3 INDIVIDUALIZED ADVERTISING
The information we receive from you helps us to constantly improve shopping experiences, continuously making our site more customer-friendly and individualized. We use information such as email receipt and read receipt; computer and Internet connection information; operating system and platform; your order history and service history; the date and time of your visit to our homepage; and the products you have viewed. We use this information exclusively in a pseudonymized form. By analyzing this data, we are able to improve our website as well as design advertisements that are specially tailored to your interests. Our goal is to make our advertising more useful and interesting to you. Therefore, the analysis of the pseudonymized data helps us to ensure that we do not randomly and excessively send you unhelpful advertising. Rather, we send you advertising, such as newsletters or product recommendations by e-mail or mail, which directly correspond to your interests. As mentioned, we also track which of our advertising emails you open to avoid unnecessary emails being sent to you. By agreeing to this contract, you are agreeing with the following statement: Organic Hemp uses the information provided by me and other information stored on my customer account as well as pseudonymized usage data to present me with personalized advertising and/or special offers and services. If you do not want to receive personalized advertising, you can opt out at any time. An email or letter to the contact details provided in Section 1 is sufficient.
2.4.4 SWEEPSTAKES, MARKET AND OPINION RESEARCH
For sweepstakes, we use your information for the purpose of winning prizes and further promoting our offers. You will find detailed information in our terms and conditions for the respective raffle, if applicable. We also use your data for market and opinion research. Of course, we use these exclusively anonymized data for statistical purposes and only for Organic Hemp / OrganicHemp.eu. Your responses to surveys will not be shared or published to third parties. By agreeing to this contract, you are agreeing with the following statement: OrganicHemp.eu uses and processes my personal data for market and opinion research for its own purposes. At any time you can request that your data is not used for market and opinion research. An email or letter to the contact details provided in Section 1 is sufficient. Of course, you will also find an unsubscribe link in every survey e-mail.
3. CREDIT CARD CHECK
We conduct a credit check before concluding the purchase contract. This is done in order to be able to offer you a selection of a variety of payment methods and, at the same time, to prevent default on payments. In addition, the credit check is for your and our security, as it prevents fraud and other crimes. As part of the credit check, we check all of the data available to us and thus determine which appropriate payment methods can be offered for an order. Among other things, all previous orders are checked in your customer account. In addition, we also check whether your delivery address differs from your billing address, whether it is a new delivery address or whether the order should be delivered to another shipping services center. In addition to the data we have, data from external service providers are also required to confirm your information and thus effectively run a credit check (first and last name, your address and, if applicable, your date of birth). The exchange of data is with one or more of the following credit service providers: infoscore Stripe
This credit rating agency uses the aforementioned data transmitted by us to make an appropriate assessment of your credit trustworthiness in regard to the respective order based on mathematical-statistical procedures (scoring). Furthermore, the credit rating agency uses the aforementioned data for other companies (e.g. other online merchants) for address verification purposes as well as for scoring applications based thereon. The calculation of the probability value also includes your address data. As part of the ordering process, we also match your bank details (only IBAN and BIC or account number and bank code) with the Return-Debit Prevention Pool (RPP) of infoscore Consumer Data GmbH (ICD), Rheinstr. 99, 76532 Baden-Baden. The RPP has the function of a lock file. In addition, in the event of non-payment of the direct debit, we will, if permitted, provide your bank details (IBAN and BIC only, no personal information) to the RPP of the ICD who will, upon request, communicate this blocking to other companies involved in the information procedure. After paying the return debit, we will report the settlement in the RPP. If you do not agree with the payment method(s) offered to you, you can inform us in writing by mail or by email to privacy@OrganicHemp.eu and we will reconsider. You can revoke your consent at any time. An email or letter to the contact details provided in Section 1 is sufficient.
Accepting cookies is not a requirement for visiting our websites. However, we point out that our website and service have limited functionalities if you do not enable cookies.
What are cookies? A cookie is a small piece of data sent from a website and stored on the user’s computer by the user’s web browser while the user is browsing. Cookies were designed to be a reliable mechanism for websites to remember stateful information (such as items added in the shopping cart in an online store) or to record the user’s browsing activity (including clicking particular buttons, logging in, or recording which pages were visited in the past). Basically, there are two different types of cookies: so-called session cookies, which are deleted as soon as you close your browser, and persistent cookies, which are stored for a longer or infinite period of time on your hard drive. This storage helps us to customize our websites, making it more user-friendly, such as remembering arbitrary pieces of information that you previously entered into form fields such as names, addresses, passwords, and credit card numbers.
What data is stored in the cookies? The cookies used by Organic Hemp only save pseudonymous data. When cookies are activated, each cookie is assigned an identification number and an assignment of your personal data. In other words, the following information is inserted into the cookie: your name, IP address and/or similar data that can only be directly associated to you. We only receive collective pseudonymous information, for example: which pages of our shop were visited, which products were viewed, etc.
What is Onsite Targeting? The Organic Hemp websites use cookie technology to collect data to optimize our advertising and online offers. This data is not used to identify you personally but only to serve a pseudonymous evaluation of website’s activity. Your data will never be merged with your personal data that we store. Again, with this technology, we may, for instance, present you with advertisements and/or special offers/services that are associated with products you have been viewing recently. Our goal is to make our online offers as attractive as possible for you and to generally cater to your interests.
There are also third-party cookies. OrganicHemp.eu uses some advertising partners who help to make the website more individualized. Cookies from partner companies are stored on your hard drive. These are persistent cookies that automatically delete after reaching their specified time. The cookies from our partner companies are also pseudonymous, mostly anonymous data. For example, this may include information about which products you have viewed, whether something has been purchased, which products have been searched, etc. In doing so, some of our advertisers are also gathering information about other websites you have visited. This pseudonymous data will never be merged with your personal information. The sole purpose is to allow our affiliates to provide you with advertisements that actually interest you.
The re-targeting of our websites use so-called re-targeting technology. We use this technology to make the internet offer more interesting for you. This technology makes it possible to present advertisements to Internet users who are already interested in our shop through our partners’ websites. We are convinced that the display of such personalized advertising is generally more interesting to the Internet user than random advertising that has no such personal reference. The insertion of our advertisements on our partners’ websites is based on said cookie technology and, thus, the analysis of the user’s behavior. This form of advertising is completely pseudonymous. No user profiles will be merged with your personal data. By using our site and consenting to the use of so-called cookies, you are thus consenting to the collection, storage, and usage of your user data. Furthermore, your data will continue to be stored in cookies after your browser session is over and can be retrieved on your next visit to the website. You may revoke this consent at any time through changing your browser settings.
How can you prevent the storage of cookies? In your browser, you can agree/disagree with the storage of cookies. If you only want to accept the Organic Hemp cookies but not the cookies of our service providers and advertising partners, you can specify such in the settings of your browser (find “block third-party cookies”). In general, you will see in the menu bar of your web browser, via the help function, how you can reject new cookies and deactivate already-existing cookies. For shared computers that are set to accept cookies and flash cookies, we recommend that you log out completely at the end of each session.
5. LOG FILES
With each access to the pages of OrganicHemp.eu usage data is transmitted through the respective Internet browser and stored in log files, the so-called server log files. The datasets stored contain the following data: date and time of the retrieval, name of the accessed page, IP address, referrer URL (the URL origin from which lead you to our website), the amount of data transferred and information about the browser used. The IP addresses of the users will be deleted or anonymized after the end of use. In the case of anonymization, the IP addresses are changed in such a way that the personal details can no longer be recognized as a specific, identifiable person, or only via high costs, great manpower and the large dedication of time can such be retrieved. We evaluate these log file datasets anonymously in order to further improve our offer and the Organic Hemp shop, to make it more user-friendly, to find and fix errors faster and to control server capacities. For example, we can estimate at what time the Organic Hemp Shop is particularly popular and thus ensure users continue to receive the fastest possible purchase. In addition, by analyzing the log files, we can more quickly detect and resolve any technical issues or errors in the Organic Hemp Shop.
6. WEB ANALYTICS
6.1 GOOGLE ANALYTICS
Our online offerings also use Microsoft Conversion Tracking (Microsoft Corporation, One Microsoft Way, Redmond, WA 98052-6399, USA). Microsoft Bing Ads sets a cookie on your computer if you have ever accessed our website through them. Microsoft Bing and Organic Hemp thus recognize that someone clicked on one of our advertisements was redirected to our website and reached a previously determined landing page (conversion page).
We only hear the total number of users who clicked on a Bing ad and were then redirected to the conversion page. No personal information about the identity of the users is provided. If you do not want to participate in the tracking process, you can also refuse the required setting of a cookie via your browser’s settings.
For more information on privacy and cookies used on Microsoft Bing, visit the Microsoft Web site here.
At any time, you may object to the collection, processing, and collection of data generated by CrazyEgg.com by following the instructions here.
For more information about privacy at CrazyEgg.com, click here.
6.6 GOOGLE ADWORDS
This website also uses Google Conversion Tracking. Google Adwords places a cookie on your computer if you have reached our website via a Google ad, thus recognizing that the user visited clicked on our ad and was redirected to our website. These cookies lose their validity after 30 days and are not used for personal identification. Every customer that clicks on our Google ad receives a different cookie. Cookies cannot be tracked via the website of Adwords users. The information gathered from the cookie is used to generate statistics on Adwords users who have opted for such conversion tracking, thus enabling Adwords to total the number of users who clicked on their ads and were redirected. However, they do not receive information that personally identifies users. If you do not want to participate in the tracking process, you can also refuse the required setting of a cookie through your browser settings.
Hotjar (Hotjar Ltd.), a useful tool in analysis and feedback, enables us to better understand what users want, care about and interact with on by visually representing their clicks, taps and scrolling behavior (also known as heat lamps). Data collection and storage can be revoked at any time with future effect here.
7.1 DOUBLECLICK BY GOOGLE
7.3 FACEBOOK PIXEL
Facebook Pixel is owned by the social network Facebook Inc., 1 Hacker Way, Menlo Park, CA 94025, USA, or if you are located in the EU, Facebook Ireland Ltd., 4 Grand Canal Square, Grand Canal Harbor, Dublin 2, Ireland
The Facebook pixel is an analytics tool that helps Organic Hemp measure the effectiveness of our advertising. We use Facebook pixel to understand the actions people are taking on our website and to reach potential customers. So, in a nutshell, we use the Facebook Pixel to display our advertisements only to those Facebook users who have shown an interest in our online offer or who show interest in similar topics/products (so-called “Custom Audiences”). With the help of the Facebook pixel, we also want to make sure that our Facebook ads are in line with the potential interest of users and, therefore, are not annoying. With the help of the Facebook pixel, we can continue to understand the effectiveness of the Facebook ads for statistical and market research purposes, in which we see whether users were redirected to our website after clicking on a Facebook ad (so-called “conversion”).
The presentation of Facebook Ads and their processing of data may be better understood through their general data usage policy of Facebook. Special information and details about the Facebook pixel and how it works can be found in the links above as well as the Preferences and Help sections of Facebook.
Order Data Processing Contract
Facebook acts as an order processor and we have a special contract with them ensuring security, in which we hold Facebook accountable for protecting the data of our customers and not passing it on to third parties.
8. SOCIAL PLUGINS
8.1 SOCIAL PLUGINS
Even if you are not logged in to the social networks, web pages with active social plugins can send data to those networks. An active plugin sets a cookie with an identifier each time the web page is opened. Since your browser sets this cookie without asking permission every time it connects to a network server, the network could then create a profile that lists all of the websites you use. And then it would also be quite possible to assign this identifier later, for example when you log in later to a social network. On our websites, we use the following plugins: Facebook, Twitter, and Pinterest. If you do not want social networks to collect data about you through active plugins, you can either simply deactivate the social plugins on our website or in your browser’s settings (select “Block third-party cookies” feature). In doing so, the browser will no longer send cookies to the server for embedded content from other providers. With this setting, however, other cross-page features may unfortunately not work.
9. SOCIAL SIGN IN (VIA FACEBOOK)
10. E-MAIL & FORMULAS
We use the Zendesk ticketing system, a customer service platform, Zendesk Inc., 989 Market Street # 300, San Francisco, CA 94102, to process customers’ inquiries. Your name, first name, postal address, telephone number and e-mail address are necessary in order to answer your questions and serve your needs.
If you contact us by e-mail or via the form on our website, we will only use the personal data you provide to process your specific request. The data provided will obviously be treated confidentially. The specified data and the message history with our service desk will be saved for follow-up questions and subsequent contacts. The processing of the data entered into the contact form is based on your consent.
11. PAYMENT SERVICE PROVIDER
You have the opportunity to revoke your consent to data processing at any time.
12. SECURE DATA TRANSFER
Your personal data is securely transmitted by encryption. This applies to your order and also to the customer login. We use the coding system SSL (Secure Socket Layer). Furthermore, we secure our websites and other systems through technical and organizational measures against loss, destruction, access, modification or dissemination of your data by unauthorized persons.
